Calendar appointment connected to reminder messages, confirmation and rescheduling

A customer gets a reminder, realizes they can’t make it, and replies asking for another time. Nobody sees the reply. The appointment stays in your calendar.

That’s an easy detail to miss when comparing appointment reminder apps. Sending the message is one part of the job. Customers also need to know where to go, what to bring, and how to change their booking.

This guide compares five apps, explains the differences that matter, and gives you a simple reminder schedule and messages you can adapt.

Choose the best reminder app based on your workflow

Start with the booking software you already use. If it sends the reminders you need and makes appointment changes easy, you may not need another app.

If you’re choosing from scratch, here’s where to start:

  • Voxiplan combines online booking, email and SMS reminders, and AI help with scheduling. Consider it if you want customers to book themselves in and get help finding another time.
  • Calendly suits businesses that mainly book meetings through a shared link.
  • Acuity Scheduling is worth a look for service appointments with email and text reminders.
  • Square Appointments is worth considering if you want customers to confirm or change appointments by text using Square Assistant.
  • SimplyBook.me lets you customize booking notifications and add features such as customer rescheduling.

Appointment reminder apps compared

All five apps offer email and SMS reminders. The bigger differences are how customers change appointments and what you pay for texting.

AppUseful forWhat to know before choosing
VoxiplanOnline booking, reminders and AI scheduling helpCustomers can manage bookings online or ask the AI assistant for help; include clear instructions in your reminders
CalendlyReminders for meetings booked through a linkSMS replies aren’t monitored; add cancellation and rescheduling links to the text

Voxiplan: Online booking with reminders and AI help

Voxiplan sends automated email and SMS reminders for appointments booked with your business. Customers can book online, then cancel or choose another time within the rules you set.

Its AI scheduling assistant can also help customers book or change appointments through chat and SMS. That’s useful when someone wants to ask “Have you got anything on Thursday afternoon?” instead of looking through available times themselves.

Voxiplan is a good fit if you want online booking, reminders and scheduling help together. Include a link to change the appointment in your reminders, and tell customers where they can chat with your assistant. See Voxiplan’s plans for pricing.

If you already use Calendly to arrange meetings, start with its reminder settings. You can choose when emails and texts go out and which meeting types they apply to.

The catch is replies: Calendly doesn’t deliver or monitor replies to automated texts. Cancellation and rescheduling links aren’t included in those messages by default, but you can add them. Do that before sending customers a reminder they might reasonably expect to answer.

Text reminders aren’t available during the free trial. Check that your plan supports SMS and the countries you need.

Acuity Scheduling: Reminders for service appointments

Acuity lets you customize reminder emails and send a text reminder before an appointment. Texting requires an eligible plan and the customer’s agreement to receive messages; it isn’t available during the free trial.

If a customer replies to a reminder text, Acuity sends an automated response asking them to contact your business another way. Make that next step easy to find. A link to change the appointment is more useful than leaving someone to hunt for your contact details.

Square Appointments: Changes by text

Square Appointments sends email and text reminders. With Square Assistant enabled, customers can also confirm, cancel or reschedule by text, and their appointment is updated in the calendar.

That makes it worth considering if customers often text you about bookings. Check that Square Assistant is available for your country and plan before making it part of your setup.

SimplyBook.me: More control over booking messages

SimplyBook.me lets you customize notification wording and timing. SMS credits are purchased separately, so include those in your budget.

Its Client Rescheduling feature adds a link to notifications and a button on the booking site. Customers can change the date or time, but switching to a different provider means canceling and booking again. If customers often switch staff members, that distinction matters.

Set up reminders that help customers show up

A useful reminder answers a few basic questions: when is the appointment, where is it, and what should the customer do if their plans change?

Start there. You can add more messages when there’s a reason to send them.

Get the booking details right

Set up your services, opening hours and appointment lengths first. Connect the calendars your team uses so customers can book times when you’re available. Voxiplan’s calendar sync helps keep those schedules in step.

Then book an appointment yourself. Check the date, time zone, staff member and address in the confirmation. For online meetings, make sure the joining link is easy to find. Our online booking setup guide covers the earlier steps if you need them.

Choose one app to send your reminders. Three tools all saying “see you tomorrow” is two too many.

Send the reminder while there’s still time to act

If customers must cancel at least 24 hours ahead, a reminder sent 48 hours before the appointment gives them time to change their plans. A reminder sent two hours before is too late for that.

Here’s a starting schedule to adapt:

MessageWhen to send itWhat to include
Booking confirmationAs soon as the appointment is bookedDate, time, location or joining link, and a link to change the booking
Main reminderBefore your cancellation deadline; for example, 48 hours ahead if the deadline is 24 hoursAppointment details, any preparation needed, and how to change the booking
Optional same-day reminderA couple of hours before, if usefulA short reminder with the address or joining details
Change confirmationAfter the appointment is moved or canceledThe new time, or confirmation that the booking is canceled

Use email for longer instructions and SMS for a short heads-up. Respect the customer’s choice of messages. If there’s nothing useful to add in a second reminder, skip it.

Make changing the appointment easy

Add the link customers can use to change their booking. Voxiplan’s cancellation and rescheduling options let you decide when customers can make changes. Open your booking link on your phone and check that you can find the appointment and choose another time.

State your deadline clearly. If it’s too late to change the booking online, give customers a way to contact you. Only say “reply to this message” if someone, or your scheduling assistant, will receive the reply.

If you take deposits or payment upfront, explain what happens to that payment when an appointment changes. Customers shouldn’t have to guess.

Stop reminding people about canceled appointments

Cancel a test booking and make sure the reminders stop. Then move another booking and check that the next message shows the new time.

Try a last-minute booking, too. Someone who books an hour ahead doesn’t need a pile of reminders intended for yesterday.

Appointment reminder templates

Keep the message short enough to read at a glance. Replace the brackets below with your own details, or use your app’s options for adding names, dates and booking links automatically.

Email reminder

Subject: Your appointment with [Business] on [Date]

Hi [First name],

We’re looking forward to seeing you for [Appointment] on [Date] at [Time and time zone].

Where: [Address or joining link]

Before you arrive: [Anything the customer needs to bring or prepare]

Need another time? You can change or cancel your appointment here: [Link to change your appointment]. Please make any changes before [Deadline].

Need help? Contact us at [Email or phone number].

Remove the preparation line if there’s nothing to prepare. Keep sensitive details out of the subject line.

Text reminder

[Business]: A reminder about your appointment on [Date] at [Time]. See you at [Location]. Need another time? [Link to change your appointment]

For online appointments, replace the address with a joining link or a link to the appointment details. Include the time zone if your customers may be in a different one.

Send yourself a preview with real details. Long names and links can make a short-looking template surprisingly long.

Confirmation after rescheduling

[Business]: Your appointment is now booked for [New date] at [New time and time zone]. See your updated booking here: [Booking link].

Send this once the new time is confirmed. If you’re still checking availability, say so instead.

When an AI scheduling assistant is useful

A reminder can prompt a customer to realize Tuesday no longer works. An AI scheduling assistant can help with what happens next: “Could I move this to Thursday afternoon?”

Voxiplan offers scheduling help through chat and SMS. Customers can use the AI chat assistant to ask about available times and get help changing their booking.

Tell customers where to find your chat assistant, and include the link for changing their appointment. A reminder text on its own doesn’t tell the customer whether they can reply.

The result should be straightforward: the customer knows which time they’ve booked, and your calendar shows the same thing.

Try it yourself before customers do

Book a test appointment using your own email address and phone number. Read the messages as a customer, then try changing your plans.

Reply to a textYou get the help promised in the message, or clear instructions on how to contact the business

Also check that your calendar isn’t sending a second set of reminders and that customers receive only the types of messages they’ve agreed to.

You don’t need an elaborate setup to get started. Create your booking page in Voxiplan, add automatic reminders, and try one booking from start to finish.

Frequently asked questions

Which appointment reminder app should I choose?

Start with the one built into your booking system. If you’re choosing a new system, consider Voxiplan for online booking and AI scheduling help, Calendly for meetings, Acuity for service appointments, Square Appointments for changes by text, and SimplyBook.me for customizable notifications. Check SMS costs and how customers can change their booking before deciding.

When should I send appointment reminders?

Send the main reminder before your cancellation deadline, with enough time for customers to prepare or change plans. For example, a reminder 48 hours ahead gives customers a day to act before a 24-hour cutoff. Add a same-day message only if it helps with arrival or joining details.

Can customers reschedule by replying to a reminder?

Sometimes. Square Assistant supports appointment changes by text. Calendly doesn’t monitor replies to automated texts, and Acuity replies with instructions to contact the business another way. Voxiplan offers AI scheduling help through chat and SMS. Tell customers how to reach the assistant, or give them a link to change their appointment.

Are SMS appointment reminders free?

It depends on the app and plan. Some plans include text reminders; others charge for message credits. Free booking plans and trials don’t always include SMS. Check the allowance, extra costs and countries you can send to.

Can I add reminders to my existing booking system?

Check its reminder settings first. You may already have what you need. If you add a separate app, make sure it updates when bookings move or get canceled. Turn off duplicate reminders so customers receive one clear set of messages.
